3 Useful Ways for Better and More Compassionate Time Management

You and I share at least two things in common. We both have 24 hours in a day, and our days are finite. Yet how we experience and use our time varies widely.

Perhaps you are time-aware. You know how much time you have and spend it intentionally. Or maybe you have difficulty keeping track of time, feel time-poor, are easily distracted, and never have enough hours to get things done.

If you think of your relationship to time on a scale from zero to one hundred, with one end representing a total lack of time awareness and intentionality and the other representing high time awareness and intentionality, where would you place yourself? Whether your number is zero or one hundred, several concepts can improve your relationship with time and help you approach it more compassionately.

 

  

Time Management Scale

Before I share the strategies, review the Time Management Scale to get a sense of where you are right now. This isn’t an exact science, but the scale will help you identify your strengths and challenges. Understanding your relationship with time, combined with the concepts I’m about to share, can be a game-changer for you.

How to Use the Scale

  • Reflect honestly on where you are today

  • Identify your target range and desired habits

  • Take consistent action to improve your score over time

Remember that small choices about how you spend your time today shape your future.


 

3 Ideas to Encourage More Compassionate and Aligned Time Management

There are three ways to align your time in a more compassionate and powerful way. As I mentioned earlier, the time available each day is fixed. Your life and the time you have left are finite. None of us knows how many days remain. How you use this precious resource shapes your life.

1. Energy

Have you noticed how your energy ebbs and flows throughout the day? For example, I have more energy and mental clarity earlier in the day, and my energy lessens as the day goes on. Matching high-brain-demand tasks, such as planning or writing, with the time of day I’m ‘fully charged’ works better for me. Lower-brain-demand tasks, like resetting spaces or grocery shopping, can be done when my energy is less.

As you plan your available time and how you will spend it, factor in your energy. A while ago, Executive Coach Marcy Stoudt introduced me to the reframing of time management as energy management.

It’s helpful to consider how you’re planning and using your time. One thing I’ve learned is how much longer tasks take when my energy isn’t aligned. For example, when I’m tired and my energy is low, it takes me two to three times as long to do certain tasks as when I’m well-rested and in my high-energy, brain-power part of the day.

2. Priorities

Have you noticed that some priorities, especially those tied to values, are fixed while others are flexible? For example, family might always be a top priority, so you’ll drop everything if someone in your family needs you. Or, when planning, family considerations drive your choices.

Flexible priorities are tasks, goals, and commitments that matter but don’t require immediate action or have a set deadline.

Flexible priorities could include:

  • Projects with open deadlines

  • Buy groceries sometime this week

  • Meet a friend for coffee in the next few months

  • Edit belongings to downsize

  • Plant flowers in the garden

  • Clean out the garage this season

  • Improve sleep habits

  • Try a meditation app

When considering your available time, aligning your priorities with your values and clarifying which tasks are fixed or flexible can lead to a more compassionate way forward.

 

3. Reality

Ah, yes! The old reality check. Here’s where time management can go sideways. Many people I know, including clients, struggle to align their available time with how long tasks take. This is where optimism needs to be balanced with a realistic understanding of time.

Has this happened to you? I see it most often on ambitious to-do lists. For example, you sit down to write your daily list. You have twenty or thirty items and expect to do them all today because they’re all “equally important.” Yet as the day goes on, you’ve only gotten to a few items. It’s clear you won’t finish everything. The day isn’t over, and you’re starting to feel stressed and defeated. Believe me, I get it. Reality and intention are two very different things.

  • Reality Check 1: Not everything is equally important.

  • Reality Check 2: Your list is too ambitious to complete in one day.

  • Reality Check 3: Optimism is great, but balance it with a realistic understanding of your available time and how long tasks take.

  • Reality Check 4: Reduce the size of your list. Curate a daily list of 1-5 items. Get those done, then review the time you have left before adding more to your day.

When you stop planning for an ideal day and start planning for the day you actually have, you gain a greater sense of control, accomplishment, and ease.

How to Joyfully Grow and Thrive When Life Feels Like Complete Chaos

When the world within and around you is drenched in chaos, how can you thrive? Humans are complicated beings. We can simultaneously hold profoundly opposite ideas, emotions, and thoughts. We can experience love and safety when wrapped in our loved one’s embrace. We can also experience intense pain when we hear news about wars, hate, displacement, and heartache. The hard stuff can weigh so heavily on you that it can feel impossible to thrive. You might even feel guilty about experiencing joy when there is so much suffering.

Several years ago, I listened to a conversation about opening and cultivating the human heart with Frank Ostaseki, co-founder of The Zen Hospice Project, and Roshi Joan Halifax, Ph.D., Buddhist teacher and Founder of Upaya Zen Center. One of the ideas that resonated with me then and even more now is that hope is essential, especially in a “time of radical uncertainty.” Hope is not about “sappy positivity,” bypassing the truth of suffering, or thinking that everything will be OK.

  • Hope helps us go beyond the rational.

  • Hope can be the flip side of fear.

  • Hope is not based on optimism.

  • Hope is a surprise. It’s light and buoyant and not about a particular outcome.

  • Hope reflects an understanding that what we do matters, even though we don’t know how, why, who it will touch, or what will unfold from our actions.

  • Hope is resistant to futility.

  • Hope resides in resourcefulness.

  • Hope speaks to possibilities.

31 Ways to Thrive and Feel Joyful During Chaotic Times

Having hope contributes to being able to thrive. Without it, we give up. Take an active role in cultivating hope. Nourish yourself and others, and create a solid base to grow from. During chaotic times, there are so many things that seem futile. Instead, focus on engaging in simple actions or observations in your control. Hope will grow from there. Consider:

  • Watching the fall leaves gently float to the ground

  • Taking a walk along the river with a good friend

  • Getting a good night’s sleep

  • Eating a nutritious and delicious meal

  • Feeling the warm sun on your face

  • Hugging your loved ones

  • Reading or listening to uplifting books, articles, and podcasts

  • Planning something you will look forward to doing

  • Taking a road trip, even a local one

  • Brewing and slowly sipping a hot cup of tea

  • Curling up on the sofa, wrapped in your favorite soft, cozy blanket

  • Learning something new

  • Listening to your favorite music

  • Practicing mindfulness meditation

  • Organizing that one room that is ready to be tamed

  • Helping something to grow

  • Focusing on the inhale and exhale of your breath

  • Making something with your hands

  • Pausing in the middle of your day to regroup and reset

  • Listening to the sounds of laughter

  • Laughing

  • Writing in your journal

  • Smiling at a stranger

  • Having a ‘do nothing’ day

  • Checking in by phone, email, text, or in person on your loved ones

  • Doing something outside of your comfort zone

  • Helping a client set boundaries, establish priorities, and get unstuck

  • Noting what you are grateful for

  • Offering compassion and kindness to someone you do or don’t know

  • Refusing to give up

  • Listening to your intuition


Life is a mixture of joy, pain, and everything in between. As humans, we know this is true. Yet even so, it can be challenging to navigate the sadness when your life and the world feel so chaotic and unhinged. While you might feel powerless to change the world, you can make your corner more joyous and hope-filled. You never know how your actions or words will uplift someone else. Be gentle with yourself and others. Nourish your being to have the energy to extend more kindness and compassion to yourself and others.

Discover One Surprising Solution When Doomerism Sabotages Your Motivation

We do things that demotivate us. We often don’t recognize how certain activities, behaviors, or thoughts prevent us from living the life we truly want. Have you ever gotten lost down the social media scrolling rabbit hole? Instead of being uplifted and raring to go, you end up feeling deflated or anxious. Do you spend so much time watching the news about the latest climate disasters, global health emergencies, wars, political unrest, mass shootings, and economic crises that you want to retreat and do nothing?

It can be challenging to access motivation when you’re constantly feeding your fear and stress responses. How can you find a healthy balance?

Recently, I read something my brother, Tod, posted on Facebook. He shared Jane Coaston’s The New York Times article, “Try to Resist the Call of the Doomers.” Before reading the piece, I hadn’t heard of Doomerism, which Coaston says “…is hotter right now than the street outside my apartment, and that street is pretty damn hot.”

Coaston describes Doomerism as “a new religion of profound pessimism...luxuriates in the awful…[and] everything is another harbinger of calamity.”

What effect does Doomerism have on your motivation? Coaston writes, “If you want people to do something, they need to be motivated- and impending doom doesn’t seem to do it.” So what can you do? Coaston’s proposition is surprising and hopeful. She believes “the best way to spur action is to begin from a place of optimism – a belief that the thing you want really is possible.”

How powerful is that? When you focus on optimism and possibilities, you have the energy and belief to move forward. It doesn’t mean you ignore everything going on in the world. However, you create a space where growth and positive outcomes are viable, and motivation thrives.

I’m reminded of my dad, the eternal optimist; even though he had a difficult childhood, he lived through the Depression and World War II. He always viewed the glass as half full, saw the best in people, and believed things would turn out OK. I frequently sought his guidance and advice. He’d listen, discuss when I was in doubt, and then send me off with three powerful words- “Go for it!” It didn’t get more hopeful than that. After our conversations, I had more belief in myself and agency in my ability to bring about positive change.

So on those days when the doomers’ noise is at full volume, turn up your optimism. Focus on what is possible. Surround yourself with images, stories, and people that will lift you up and cheer you on. Build a solid positive foundation to grow from. This will nourish your motivation and belief that what you seek can happen. Even in the darkness, life offers an abundance of light. Focus your lens in that direction.
